Why Inventory is Important
The purpose of IT inventory is to collect and keep updated information for all computers, servers, and peripherals throughout an organization. For example, an IT inventory includes information such as: hardware information (CPU type and frequency, RAM amount, HDD size), network information (IP address), software information (installed software, licensing information, software usage), etc. With updated and accurate such information will help you manage and plan your IT environment.
How to Collect - Software or Manual
Example of IT inventory software is Microsoft Systems Management Server, Microsoft System Center Configuration Manager, Altiris Service & Asset Management Suite. Typically a dedicated server with those programs collects information from its agent over the network. You can also generate report with their reporting feature.
Sometimes IT inventory can be created and managed manually. Advantage of manual inventory is that it does not require server hardware or software license, no software implementation, and it can also collect information of device not on network. Disadvantage of manual inventory is that it will take time, also it may cause interruption for computer users, and most importantly, it is hard to keep the information updated all the time.
